Tokan Labs (“we”, “us”) operates tokanlabs.com. This policy covers the personal information we handle through this website and through the enquiries that start here. If anything below is unclear, email hello@tokanlabs.com and a person will answer.

What we collect

• What you send us. Your name, company, work email, the services you selected, your budget range, and whatever you write in the message field. You choose what goes in there.
• Meeting bookings. If you book a call, our scheduling provider records your name, email, and the slot you picked.
• Basic technical data. Standard server and analytics data such as pages visited, referring site, approximate region, browser, and device type. We use this to understand which pages are useful, not to identify you.

We do not collect special-category data, we do not buy contact lists to enrich what you give us, and we do not ask for payment details through this website.

Why we collect it

• To reply to your enquiry and scope the work you asked about.
• To prepare and send a quote, and to run the engagement if you hire us.
• To keep records we are required to keep as a business, including tax and contract records.
• To improve the site based on which pages people actually read.

Our legal basis is your consent when you submit the form, and our legitimate interest in responding to business enquiries and maintaining a functioning website.

What we will not do

• We will not sell, rent, or trade your personal information. There is no version of our business where that makes sense.
• We will not add you to a marketing list because you filled in the contact form. If we ever start a newsletter, you will have to ask for it.
• We will not keep emailing you after you stop replying. Two follow-ups, then we stop.
• We will not put your name or logo in a case study without your written permission.

Who else touches the data

We use a small number of third-party services to run the site. Each receives only what it needs to do its job:

• Form processing and transactional email. Resend delivers your contact form submission to our inbox and sends you the confirmation email.
• Meeting scheduling. Cal.com handles call bookings and calendar invitations. Its booking widget loads from Cal.com when you open it, and the name, email, and any notes you enter go to Cal.com and to us.
• Web hosting and analytics. Serves the site and reports aggregate traffic.
• Email and productivity tools. Where our replies to you live.

The typefaces on this site are served from this site itself, so loading a page makes no request to Google or any other font provider.

These providers process data on our instructions under their own terms. We do not authorise them to use your information for their own marketing.

Where it lives, and for how long

Tokan Labs is incorporated in Singapore and works with clients in the United States, so your information may be stored or processed in Singapore, the United States, India, or the European Union depending on the provider. We keep enquiry records for up to 24 months from your last contact with us. Records tied to a signed engagement are kept for as long as the law requires us to keep contract and tax records. After that, we delete them.

Your rights

Wherever you are, you can ask us to show you what we hold, correct it, delete it, or stop using it. If you are in the EU or UK, that is your GDPR right of access, rectification, erasure, restriction, portability, and objection. If you are in California, that is your CCPA right to know, delete, correct, and opt out of sale, and as above, we do not sell.

Email hello@tokanlabs.com with what you want and we will action it within 30 days. We will not ask you why, and we will not make the site worse for you because you asked.

Cookies

This site does not set advertising or tracking cookies. Any cookies present are strictly necessary ones set by our host or analytics provider to serve pages and count visits. You can block cookies in your browser and the site will still work.

Security

The site is served over HTTPS. Access to enquiry data is limited to the people who need it to reply to you. No system is perfectly secure, and we will not pretend otherwise. If we ever have a breach that affects your information, we will tell you and the relevant regulator promptly rather than quietly.

Children

This is a business-to-business site and is not directed at anyone under 16. We do not knowingly collect information from children.

Changes

If we change this policy we will update the date at the top. Material changes will be flagged on this page rather than slipped in.
